This privacy policy explains how Silent Collective (“we”, “us”) collects and uses personal information when you visit silentcollective.co.uk, contact us, or buy office pods from us. We are the data controller for this information.

Information we collect
- Enquiries: when you use our contact or quote form we collect your name, company, company email address, mobile number, the pods you are interested in, the quantity required and your message.
- Emails and calls: anything you send us directly, such as floorplans, site details and correspondence.
- Customers: if you order from us, delivery and installation details, site contacts, invoicing details and records of our work and aftercare.
- Website use: our hosting provider keeps standard server logs (such as IP address, browser type and pages requested) for security and performance. We do not use analytics or advertising trackers. See our Cookie Policy for details of cookies.
How we use your information
- To reply to your enquiry, prepare quotes and arrange showroom visits and site surveys.
- To supply, deliver, install and maintain your pods, including warranty and aftercare.
- To keep business, tax and accounting records.
- To keep our website secure and working properly.
We do not sell your information and we do not send marketing emails unless you have asked us to.
Our lawful bases
- Contract: to take steps at your request before entering into a contract, and to perform that contract.
- Legitimate interests: to respond to business enquiries, run our business and keep our website secure.
- Legal obligation: to keep financial and tax records.
- Consent: for optional cookies, such as those set by the embedded Google Map. You can withdraw consent at any time.
Who we share it with
We only share your information where needed to provide our services:
- Website hosting: Kinsta, which hosts this website and its form submissions.
- Email: Microsoft 365, which handles our email.
- Manufacturers, delivery and installation partners: when you place an order, so your pods can be supplied, delivered and fitted.
- Professional advisers such as accountants, and authorities where the law requires it.
- Google: only if you accept optional cookies, the Google Map on our Contact and About pages is loaded and Google receives your IP address.
Some of these providers may process data outside the UK. Where they do, appropriate safeguards are in place, such as the UK International Data Transfer Agreement or adequacy regulations.
How long we keep it
- Enquiries that do not lead to an order: up to 24 months after our last contact.
- Customer and order records: 6 years after the end of the financial year they relate to, to meet tax and legal requirements, and for the life of any warranty.
- Server logs: kept by our host for a short period for security purposes.
Your rights
Under UK data protection law you can ask us to access, correct or delete your personal information, restrict or object to how we use it, or receive a copy in a portable format. Where we rely on consent you can withdraw it at any time. To make a request, email hello@silentcollective.co.uk. We will respond within one month.
If you are unhappy with how we have handled your information, please contact us first. You also have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk or on 0303 123 1113.
Security
Our website uses HTTPS encryption and is hosted on secure, managed infrastructure. Access to enquiries and customer records is limited to the people who need it.
